How FMCG Wholesale Sourcing Works: From Inquiry to Delivery

FMCG wholesale sourcing - warehouse and logistics

For new and experienced FMCG buyers alike, understanding the full wholesale sourcing cycle — from initial inquiry through to delivery — is essential for efficient procurement. This guide walks through how FMCG wholesale transactions work, using Foodica's standard operating process as a practical reference point.

Step 1: Submitting Your Inquiry

The process begins with a product inquiry. A good wholesale inquiry should include: the specific brands and SKUs you require, target quantities (case, pallet, or container), your destination country, and any labelling or documentation requirements. The more detail you provide upfront, the faster a supplier can respond with a relevant offer.

At Foodica, all wholesale inquiries receive a response within one business day via our contact form, email, or phone.

Step 2: Receiving and Reviewing a Product Offer

A professional FMCG wholesale offer should include product descriptions, available quantities, unit pricing (typically expressed per case or per pallet), best-before or remaining shelf life confirmation, Incoterms, estimated lead time, and payment terms.

Review the offer carefully against your market requirements — particularly shelf life, labelling compliance, and payment terms. If any items are unclear, request clarification before confirming.

Step 3: Order Confirmation and Deposit

Once you are satisfied with the offer, you confirm the order in writing. Most reputable wholesale suppliers — including Foodica — require a preliminary deposit at this stage to formally reserve the goods. This is standard practice in the industry and protects both parties.

Foodica works on TT (Telegraphic Transfer) payment terms with a small deposit. Remaining balance is typically due before shipment.

Step 4: Documentation and Labelling

For export shipments, the supplier's shipping department prepares export documentation — typically including a commercial invoice, packing list, certificate of origin (if required), and customs declaration. Where individual language labelling is required, this is coordinated in advance of shipment.

Step 5: Shipment and Delivery

Once documentation is complete and final payment confirmed, the shipment is dispatched. Road freight within Europe typically delivers in 3–10 business days. Sea freight to Africa, the Middle East, or Asia typically takes 2–6 weeks depending on the port of destination.

Foodica's dedicated shipping department manages all modes of transport and coordinates with logistics partners to ensure reliable, trackable delivery to your destination.
